We are looking for a person who can support our team of architects with a variety of finance skills with an emphasis on bookkeeping, credit control and payroll. This role does not require qualifications as we will have an external, practice accountant. It does however require a candidate with experience in small organisations who can do a little bit of everything.
The part-time role is for 8-10 hours per week and offered at a rate of £16/hr and would well suit a self-employed individual.
Collective Works is an architectural studio that has been in business since 2012 and run by three Partners with an additional team of four. The office is a highly flexible environment comprising long-term employees and freelancers who enjoy a hybrid and part-time working style. The office values a joyful work environment and a collaborative attitude towards projects.
As Finance Officer, your responsibilities will include overseeing end-to-end finance operations, financial planning and analysis, balance sheet reconciliations, looking to make improvements to procedures and controls, as well as ad-hoc projects and requests as and when they come up.
Your duties will for the most part be in relation to Collective Works LLP. We are transitioning to an LTD and already have this business in place although there is no activity going through it yet. The ideal candidate will support us through this shift and then work with a practice accountant for the LTD and to wind down the LLP.
Requirements
- Experienced bookkeeper capable of undertaking all aspects of the finance function, including sales ledger, credit control, purchase ledger, payroll and VAT returns
- Able to work independently
- Flexible, hybrid working
- Availability during business hours for online meetings and fortnightly face-to-face meetings
- Familiarity with Xero
- Familiarity with Gmail and Google Docs
- Advanced Excel skills
- Knowledge of payment integration to invoices
Responsibilities
- Bookkeeping (via Xero)
- Invoicing and credit control
- Processing and paying purchase invoices, ensuring they are correctly allocated to projects
- Managing a small payroll (mixture of employees and freelancers)
- Filing monthly pension contributions
- Prepare and file quarterly VAT returns in Xero
- Produce monthly expense accounts summary
- Monitoring time spent on projects (via Moment, our project management software)
- Produce quarterly management accounts in Microsoft Excel
- Liaise with external accountants who will prepare annual accounts for all three businesses (CW LLP, CW Services Ltd, Root and Branch Homes Ltd)
- Liaise with external accountants who will prepare taxable contributions from business(es) to Partners/Directors
- Assist on financial analysis projects as needed
