Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Executive Support Officer for a 23 month contract on a rate of £21.03/hour (PAYE). The role holder must be available to work in the office a minimum of two days per week, up to five days a week when required.
Responsibilities:
- Ensuring efficient back of house services working across enabling functions
- Providing efficient, effective and proactive support to a team
- Diary management
- Organising and preparing meetings and events, prioritising tasks and coordinating activity
- Liaising with other departments to ensure the flow of information
- Triaging information to ensure a consistent level of awareness and understanding in a rapidly changing environment.
- Management of the mailbox
- Providing support to Senior Counsel
- Providing support to Solicitor when required (every Friday / holiday/sickness cover)
- Business support to the Corporate Services and teams
- Reception cover
- Assisting with generic inbox management
- Drafting responses to correspondence
- Minuting meetings, preparing agendas and papers
- Other administrative tasks (printing, filing) as required
- Undertaking any other appropriate duties as required to support the teams.
Essential Skills:
- Highly skilled in Microsoft Excel for data analysis, reporting and for complex data management, including complex pivot table analysis.
- Proven experience providing high-level executive or administrative support in a fast-paced environment.
- Strong ability to manage calendars, schedule meetings, and coordinate travel arrangements.
- Excellent written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Ability to liaise effectively with internal and external stakeholders at all levels.
- Demonstrated ability to prioritise tasks, manage competing deadlines, and maintain attention to detail.
- Experience in handling confidential and sensitive information with discretion.
- Strong analytical and problem-solving skills with the ability to anticipate needs and take proactive action.
- Capacity to work independently and as part of a team.
