Role Description The Apprenticeship Onboarding & Compliance Coordinator is a full-time, on-site role based in Cardiff. This position is responsible for managing the end-to-end onboarding process for apprentices, ensuring all documentation, eligibility checks, and funding requirements are completed accurately and on time. The Coordinator will liaise with employers, apprentices, and internal teams to schedule inductions, explain program requirements, and maintain clear communication throughout the learner journey. Day-to-day tasks include maintaining accurate records on internal systems, monitoring compliance with government and funding body regulations, preparing audit-ready documentation, and resolving queries related to apprenticeship enrollment and progression. The role also supports continuous improvement of onboarding processes, contributes to reporting on learner numbers and compliance status, and helps ensure a smooth, positive experience for all stakeholders. Qualifications
- Strong administrative and organizational skills, including accurate data entry, document management, and attention to detail.
- Experience with compliance, regulatory or funding requirements, preferably within apprenticeships, further education, or training environments.
- Confident communication and interpersonal skills to work effectively with apprentices, employers, and colleagues, both in person and by phone/email.
- Ability to manage multiple tasks and deadlines, prioritize workload, and follow structured processes consistently.
- Comfort with using digital systems and Microsoft Office (e.g., Word, Excel, Outlook) for record-keeping, reporting, and correspondence.
- Experience in education, training, or apprenticeship coordination is beneficial, as is knowledge of UK apprenticeship funding and ESFA/DfE requirements.
- Relevant qualification in administration, education, or business (or equivalent experience) and a commitment to ongoing professional development.
- Ability to work effectively on-site in Cardiff as part of a team, demonstrating reliability, integrity, and a learner-focused approach.
